To write a project progress report:

  • In the planning stage of your project, agree about which project stakeholders receive the report and how often, for example, every week
  • Choose the elements that need to be communicated to your audience
  • At a minimum include these elements:
    • Project ID or title
    • Reporting period
    • Budget status
    • Schedule status
    • Projected completion date
    • Milestones or achievements
    • Issues
    • Risks
    • Change recommendations
  • Use a succinct style so that the report can be easily and quickly read
  • Use a consistent style for every report so that each report can be easily compared with previous reports and the project plan
  • Use the same format for every report
